What lands in PracSuite

The PracSuite integration connects ClientForms to PracSuite, Smartsoft’s cloud practice management platform for allied health. Your patient completes a validated assessment on their own device, ClientForms scores it against published norms, and the result writes to the PracSuite patient record as native clinical documentation. PracSuite sync is included on every plan and is available for Australian practices.

Integration setup guide

Step-by-step instructions for connecting PracSuite to ClientForms. Most practices are up and running in under five minutes.

What ClientForms does with PracSuite

ClientForms sends clinically validated assessments to your PracSuite patients. The patient completes the form on their own device, ClientForms scores it against published norms, and the result is written back to the PracSuite patient record as a clinical note with the full PDF report attached to the patient file. Consent forms land in PracSuite’s consent categories. Patients are imported only when you send to them; your PracSuite list is never bulk copied.

Before you start

  • A PracSuite account (Australia) with access to Settings and API keys
  • A ClientForms account (the free plan works, no card required)
  • Five minutes

Step 1: Create a PracSuite API key

In PracSuite, go to Settings → Integrations → API and create a new Account API key. Give it a recognisable name like “ClientForms integration” and grant it these permissions: Patients and Practitioners (read), Clinical Notes and Patient Attachments (write). Copy the key to your clipboard.

Step 2: Connect PracSuite to ClientForms

In ClientForms, go to Settings → Integrations → PracSuite. Paste your Account API key and click Connect. Once verified, three sections become available on this page. They’re marked on the screenshot below and explained in the legend underneath.

Connection status. Confirms the connection is active, when it was established, and gives you a one-click Disconnect.

Sync preferences. Controls what flows to PracSuite: a clinical note alone or a note with the full PDF report attached, and whether sync runs manually or automatically on submission.

Step 3: How patient matching works

ClientForms does not copy your patient list. When you send an assessment, search your PracSuite patients by name; the matched patient is imported at that moment, and only that patient. Matching uses name and date of birth, and you confirm the match before anything is sent. Patients you never send to never leave PracSuite.

Step 4: Send an assessment

Click Send assessment in ClientForms. A dialog opens with three things to set: which patient (search your PracSuite patients by name; a matched patient shows a PracSuite badge), which assessment, and how to deliver it.

You have three delivery options:

  • Email link. Sends the patient a one-tap link to the assessment. Useful as pre-session prep before an appointment.
  • QR code. Opens a printable QR code for the waiting room. The patient scans it with their phone and starts the form straight away.
  • Copy link. Copies the same one-tap link to your clipboard for SMS or any other channel you prefer.

Whichever channel you use, the patient never has to download an app or create a login. They tap the link, complete the form on their own device, and submit.

Step 5: Results land in PracSuite

The moment your patient submits, ClientForms scores the result and writes it to the patient’s PracSuite record as a clinical note, attributed to the right practitioner and business. Five things are worth pointing out; they’re marked on the screenshot and explained underneath.

Note header title. The assessment name and date sit in the note header, so the record timeline scans instantly.

Structured summary. Form, completed-by, date, total score (e.g. 48 / 126) and the validated severity band as labelled fields.

Subscale breakdowns. Each subscale scored with its own severity band, so a flat total can’t hide an elevated dimension.

Item responses. Every question and the patient’s scored answer, in the note body.

PDF on the patient file. The full report attaches to the patient file as a PDF, ready to share with a referrer.

Practitioner mapping

Map each ClientForms user to their PracSuite practitioner and business under Settings → Integrations → PracSuite → Practitioners. PracSuite requires both for a clinical note, so complete the mapping before your first sync; every note is then attributed to the right person at the right location.

How to disconnect

Go to Settings → Integrations → PracSuite and click Disconnect. Syncing stops immediately and your API key is removed from our systems. Assessments already in ClientForms stay put; nothing further flows to or from PracSuite until you reconnect.

Troubleshooting

  • “Invalid API key”. Create a fresh key in PracSuite and check it has all four permissions from Step 1.
  • Clinical note not appearing. Refresh the PracSuite record; if it is still missing after a minute, check the sync status under Settings → Integrations → PracSuite in ClientForms.
  • Patient not matching. Search by the exact name as it appears in PracSuite, and confirm the date of birth matches.
  • Still stuck? Email support@clientforms.app and we’ll get back to you the same working day.

Frequently asked questions

Does PracSuite score outcome measures like the GAD-7 or DASS-21?

Not by itself. PracSuite’s own forms collect responses but do not score them against published norms. ClientForms scores each assessment the moment your patient submits, then writes the result into PracSuite as a clinical note with the total score, a validated severity band, and subscale breakdowns.

Can I run ADHD or autism assessments through PracSuite?

Yes. ClientForms includes DSM-5 ADHD assessments for adults and children, autism screeners, and composite ADHD and autism profiles with norm-referenced percentiles. Each completed instrument writes its own scored clinical note to the PracSuite patient record, and the profile report is available in ClientForms as a PDF.

What exactly gets written to the PracSuite patient record?

A clinical note titled with the assessment name and date, containing the score, severity band, subscale breakdowns and the patient’s item responses. The full PDF report attaches to the patient file, and signed consent forms land in PracSuite’s consent categories.

Does ClientForms copy my whole PracSuite patient list?

No. ClientForms imports a patient only when you send them an assessment. Your PracSuite patient list is never bulk copied, and nothing is stored for patients you have not worked with.

Which plans include the PracSuite integration?

PracSuite sync is included on every plan, starting free. The free plan includes ten scored assessments in total; paid plans from $9 per month remove the response limit.

Is patient data hosted in Australia?

Yes. ClientForms runs on Australian infrastructure in Sydney, and assessment data for Australian practices stays in Australia. The platform is built for Privacy Act and Australian Privacy Principles compliance.
