Bring your past assessment results with you. Choose the right patient records, review the import, and keep that history close when you need it.

Your history stays recognisable. Imported results keep their source values. ClientForms does not re-score them or turn them into new assessment responses.

Export your assessment data

  1. In NovoPsych, open Account → Data & Privacy.
  2. Find the CSV data export below the psychometrics preferences. Choose the date range you want to bring across, then select Download.
  3. Confirm Yes to receiving the export by email. In that email, select Download File.
  4. Extract the ZIP on your computer. Keep the original export and use the CSV files inside for the next step.

Before you start

  • For a whole-practice export, use the NovoPsych Account Manager account. Check the export covers the patients and dates you want.
  • Use the assessment-data CSV export. PDF reports and NovoNote documents are not supported by this importer.
  • Your account must have permission to view patient results. The importer is available for practices with patient data stored in Australia. US accounts are not supported.
  • If you use Cliniko or PracSuite, connect it first to include its patients when finding matches. You can also use ClientForms patient records on their own.

Upload the extracted CSV files

In ClientForms, open Settings, then Integrations, then NovoPsych history import. Choose your CSV files together. The upload accepts up to 100 files, 2 MB each and 20 MB in total. You do not need to share your NovoPsych sign-in details.

Select Upload and find patients. The source is saved before matching starts; uploading alone does not attach results to a patient.

If you have imported before, use the same NovoPsych source account for repeat exports. With several saved accounts, the screen asks you to choose.

Find and confirm your patients

Find patients checks your ClientForms records and your connected Cliniko or PracSuite patient list. Work through Exact names, Names to check and Without a match. Check each person belongs to the selected patient, even when the name is an exact match. Confirm a match, explicitly create a ClientForms patient, or keep the person for later.

Select the suggestions you want, then choose Confirm [number] matches and continue. A confirmation dialog lets you review the selected source-to-patient pairs before saving.

You can return to saved choices before the source expires. The import screen shows the expiry date. Already imported history stays in the patient record when the source is removed.

Review what will be imported

Review & import shows the results ready to import, the patient records they will go into, and any results left out or needing attention. Check the totals and patient choices, confirm the acknowledgements, then select Import [number] results. Existing results are not overwritten.

The review separates results ready to import from duplicates, conflicts, people kept for later and rows needing attention. If a count is unexpected, return to matching before approving.

The receipt tells you how many results were imported and how many patient records received them.

Open the imported patient history

Open a patient record and look for History (imported). Results are grouped by instrument, newest first, and shown as recorded in the source. ClientForms does not re-score or re-interpret them.

If the patient also has assessments sent through ClientForms, expand the history section below them. Use the instrument or date search to find a past result.

Imported history stays in ClientForms. Sending newly completed assessment results to Cliniko or PracSuite is a separate workflow.

Questions about bringing your history

Can I import a ZIP or PDF?

Upload the extracted CSV files from your NovoPsych assessment-data export. Extract ZIP downloads on your computer first. This importer does not import PDF reports, NovoNote documents or appointment records.

Will this create duplicate patients?

The wizard suggests matching patient records for you to review. You confirm which person belongs to which patient, or explicitly choose to create a ClientForms record. An exact name is a suggestion, not proof of identity. Creating a record during import does not create a patient in Cliniko or PracSuite.

Can I leave some history for later?

Yes. You can keep people for later and return to your saved import before its source expires. The current source-retention window is seven days; the import screen shows the expiry date. After expiry, upload the original export again. History already imported stays in the patient record.

What happens if I upload the same export again?

ClientForms checks for results already imported from the same NovoPsych account. With one saved source account, this check is automatic. With several, choose which account the export belongs to. Use the same account for repeat exports so previous results can be recognised; conflicts are held for review.

Are historical results added to ClientForms Profiles?

Imported results remain reference history with their original source values. They are not re-scored, re-interpreted or included as new ClientForms assessment responses. Send new assessments through ClientForms for its scored reports and Profiles.

Does importing send the history to Cliniko or PracSuite?

No. The import places historical results in ClientForms patient records. Matching can use your connected practice software to find the right patient. Returning newly completed ClientForms assessments to your practice software is a separate integration workflow.

Who can use the history importer?

The importer is currently available to eligible practices with patient data stored in Australia, with permission to view patient results. It is not available to US accounts. You can match to ClientForms patients without connecting practice software.
